Virtual PA Support - Portsmouth Diocese.
I am delighted to be back working with the team at Portsmouth Diocese. It is always so encouraging when a client asks you back! Having worked with them previously, I have been able to hit the floor running and provide a seamless transition.
Operational processes & procedures - Newbury Baptist Church
I am currently working with the team at NBC, to transform a number of crucial processes and creating systems that are more efficient to improve the way in which they manage their data. Communication and Training to key volunteers is vital to ensure these processes are understood and continue into the future.
PA Support to Warden, Gladstone's Library
In this ongoing role, I provide full PA support to the Warden and the Senior Management team as required. The Library is unique and offers everything from accommodation, restaurant, a scholarship programme and a full calendar of events and courses. With such variation, the Warden's time is precious and in demand, so diary and email management are crucial elements within this role.
Social Media - Frampton's Wine Bar & Kitchen
Frampton's is a busy place and the owner's time is taken up with the day to day running of the business so finding time to update the website, and keep on top of social media is always a challenge. By outsourcing this to me, it allows them to concentrate on the bar and not worry about the social media elements.
Social Media - Bembridge Building Supplies
Having seen the results being achieved with Framptons, Bembridge Building Supplies approached me for help. I am delighted to be working with them to raise their profile and promote their business on social media.
PA Support - Faith in Later Life
I provided short term administration support to the newly appointed CEO whilst she settled into the role and had time to think through the long term support she would like in place going forward. In addition to general office support, I was able to work through and update some of the existing procedures to create a more streamline and effective process.
Team Administration Maternity Cover - Oxford Diocese
It is always lovely when a client asks you back and I was delighted to be asked back to Oxford Diocese, this time to provide maternity cover. A different team and a slightly different role, but in addition to the day to day administration support, I was asked to review some of their processes and procedures and helped to implement new ways of working.
PA Holiday Cover - Gazing Performance
Three years ago I was asked at short notice to support the CEO whilst his regular PA was on annual leave. Since then, I have covered for the PA every year and this year was no exception. No matter how well you know a role, It is always difficult to pick up a rhythm that is based on a long time partnership between a CEO and his PA but if both parties recognise this, then it can work really well. Handover at both ends of the contract are vital and managing the inbox so it is not horrendous for the PA on return are both key elements for a successful cover contract such as this.
Website Project - Hubb Digital
Great to be asked to work with Adam and team again. Whatever the project, it's always a short deadline and this one was no different! Transferring web pages from a clients old website, to their new Hubb Digital website, including the links and images and ensuring they all work as they should in just under a week. Delighted to have been able to meet the deadline and that both Hubb Digital and their client were pleased with the outcome.
Virtual PA Support - Portsmouth Diocese
At Portsmouth, I covered a vacancy and supporting two directors as their PA for 8 months. They were a great team to work with and I in addition to the day to day tasks they asked of me, I was able to assist in improving their systems and processes. Event & Training Administration - South East Learning Partnership
I have been supporting the SELP for the past year with their CMD training programme and am responsible for all the administration relating to the training events. This includes booking venues and liaising with the venue team, booking facilitators to deliver the events and registering the delegates who wish to attend. Budget management, feedback and follow up are required for each event.
Business Support - Lisa Hill
I supply regular support to Lisa, a Pilates Instructor who, due to covid-19, overnight had to change her business model from teaching classes in person to teaching online. Being part of the project from the beginning meant that I was able to support Lisa in the setting up of processes, website content and general administration. 2 years on, and we are still working together. I provide regular business support in the way of website management, digital marketing and virtual assistant services allowing Lisa to do what she does best - teach Pilates.
Virtual Assistant Support - Oxford Diocese
September 2021. I took on a 12 week "hit the floor running" contract to support two directors whilst they recruited for a long term permanent PA/EA to join their team. The recruitment for the permament PA took longer than expected and 12 weeks turned into 10 months! It was a great opportunity to use my skills and experience to help them to create and shape the role going forward. Find out what the experience was like for them, by reading their review.
Event Management - Crowthorne Parish Council
With only eight weeks to plan, I was approached by a local parish council to help plan and deliver a late night shopping event in collaboration with a number of stakeholders, for the local community.
I was delighted to receive this review following the event.
"Tracey, quickly ascertained our needs, built effective relationships with all stakeholders and delivered a sensational event on time and budget. The event was a collaboration with Bracknell Forest Council, Churches Together, Library service, the Parish Council, Fire Service, Police, shops and businesses and market stall holders. Tracey ensured all insurance, licensing, Safety Advisory Group, risk assessments, health & safety and bookings forms were completed and submitted. All of this was completed during the Covid pandemic with government guidance changing only four days before the event!!"
She has been a pleasure to work with and I have no hesitation in recommending her for events work on a substantial scale or any admin task big or small".
Data Entry - Luckley House School
I was recently contacted by a private secondary school, which had made the decision to transfer their Single Central Register information from the excel document it was currently held in to a new cloud based package called Sentry. Realising they were not able to release any existing resource to make this happen, they approached TV Office Management for help. I, of course, was delighted to help and was given access to both the package and the SCR. Liaising with the schools HR manager, I set up Sentry in the way the school wanted, adding specific checks, deadline dates and manipulated the data which allowed me to upload and create a profile for every member of the school community. With all this done, sentry was ready for the individual data for each person to be checked and methodically added. Regular meetings with the HR Manager were held throughout the project to ensure that the correct process was being followed. On completing the project, training was given to the HR team and the school now has a much more secure, streamlined and efficient process for their Single Central Register.
Operational Restructure - Mount Pleasant Baptist Church
TV Office Management were approached by a Baptist Church, which were in the process of reviewing their administration structure and processes. Wanting an unbiased opinion, we were invited into the process. Following time spent with the leadership team, both as a group and as individuals, where we discussed the current processes and potential improvements, we produced a report of our findings and recommendations. This was presented to the wider leadership team for consideration and review. Subsequently all of the recommendations were adopted. This has resulted in the church operating more efficiently, improvement in team morale and a better use of resources.
Video Editing - Endis
I have worked on a number of short term projects with Adam, a CEO of a software company. One day he called and asked "Have you ever done any video editing?" He was up against it and needed some extra help to meet a deadline. When I replied, "no", he said "not to worry, I will send you an instruction video and once you have watched it, could you please edit these 25 files asap?" Priding myself on being flexible and willing to turn my hand to anything to help our clients, I watched the video!
I am delighted to say that I completed this task within the time required and Adam met his deadline.
